Use the official owner portal

Log in to the official HOA/AppFolio portal and look for budget packets, reserve studies, minutes, contracts, addendums, change orders, progress reports, and disclosures.

Request missing records in writing

If a document is not available in the portal, owners can request association records from the property management company in writing.

Association records

California Civil Code §5200 defines association records to include categories such as financial documents, executed contracts not otherwise privileged, written board approval of vendor or contractor proposals or invoices, reserve balances, payments from reserve accounts, minutes, and governing documents.

Association records and information from them should not be sold, used commercially, or used for a purpose unrelated to a member’s interest as a member. Avoid sharing private, privileged, personnel, litigation, or owner-identifying information.

Simple request format

When requesting records, be specific. Example:

Please provide electronic copies of the executed contract, any addendums, approved change orders, invoices paid to date, invoices approved but unpaid, and any project ledger or payment schedule related to [specific project].
